Event meeting (notes)


  • the work form the students needs to be collected 
  • the edit needs to be done (unless we decide to play one after the other)
  • we need to make sure everyone can fit in the room 
  • someone needs to speak to the IT Department 
  • room C13 needs to be booked 
  • Collect SD card from media department for all the work to be put together
  • if there are any emails sent with student's work that needs to be sorted out and added on the SD card
  • Release forms need to be made and sent to people via email or printed out to handed to them to sign ((agreement for their work to be shown))


Conclusion of the meeting
Connie will go to the media department to get the SD card and hand it out to the people in the class. She will check over all the footage make sure that it all plays fine. Reni will speak to reception and book the room C13 ASAP for the date of the event. There shouldn't be an issue with the room booking because on that day our class normally has a lesson. Reni will then speak to the IT department and check that there will be no issues with playing all the videos through the projector and if there are any issue how could they be solved. 

Both connie and reni will make a plan of the room by the end of Friday 21st, of where all the tables and chairs will go and they will figure out how many people will be able to fit. By the end of friday the agreement release forms should be made ready to get sent out and signed by everyone. If there are already candidates ready to give out their work Connie will collect it from them and Reni will make sure the release forms are signed.

My role for the event was to be the producer of it, this meant that I had to organise and make sure that all the work from everyone was handed in on our hard drive. 
both me and connie presented all the work together and told everyone more about why we are doing it.

P5 - Evaluation


a) fitness for purpose (own opinion - what worked well/not so well?)
The event went well, it was nice to have the media students all in one room to watch each other's work. Everyone through it was a nice afternoon spent away from doing any work and just watching peoples best work throughout the year. The only bad this that has happened when we tried to play all the videos which we had collected, but the videos wouldn't play. This made everyone wait for the event to start which was not ideal for us. We had to apologise to everyone for the inconvenience. The other thing that could have gone better was informing people in advance about it, the whole event happened very last minute. Overall the purpose was the entertain the audience and for them to appreciate everyone else's work in a calm relaxed environment. That is exactly what happened and based on the feedback the audience gave us everyone said that the theme and purpose was exactly as said.
b) process followed (did the exhibition/event run to plan? )
The event was planned to be the few days later than expected, however, we had to move the event two weeks earlier. Both me and Connie collected everyones work and put it on to one computer which was connected to the projector. We then sat down together and put the projects in order that we thought would go well. Then we gathered everyone together and spoke to them why we are making this event and thanked everyone for giving us their projects. When the time came for us to play all the videos at once the computer would not let us play it, it meant that we had to tell everyone to wait a little bit. Connie and I weren't sure what was actually wrong at the time therefore we asked for assistance.The teacher that was there at the time helped us out with the computer connecting it with the projector, he also helped with the sound.  

c) strengths and weaknesses (what did the feedback say?)
Following the feedback from the class people, the main pointers that we got were that we needed more time, organisation, they needed more notice about the event and we needed practice. The issue with the time given was that we thought we had more time than we actually did. As a team we thought that the event will take place at the end of May but it turned out that we had to shift it to mid-May(10th). This gave us 2 weeks less than expected. Following through the timeframe given we had to collected peoples work quickly which then game the media student less time for them to prepare for the event as well. We also did not have enough time to practice how to work the projects with the computers to make them run smoothly. The strengths based on the feedback was that the whole idea of the event is good and it was a nice thing that it has happened. People also said that we handled the whole situation very well due to the time given, we did the work quickly and held the event the same week. 

  d) appeal to audience (are there any possible improvements that can be used for future exhibitions/events?)
If we were to hold the event again the things we would do better next time would be: double check all the times and how long we have to hold the event, have better communication skills with the audience, use all our time given to collect the projects from all the media students and practice playing the event.
We would improve on communicating with our teachers so we have better time schedules. This would lead to us letting the whole class know when the exact date of the event will be and it will also give us an idea of when we would be able to practice on putting the projects all together. It appealed to the target audience because it was all their work and they enjoyed looking back at what they had done and created.
